Summary of Job: Responsible for the operation of a portfolio of multi-family properties; works in a team environment with property management and maintenance staff.
Supervised by: Manager of Property Management, Leasing and Compliance
Responsibilities and Duties:
Management of Occupancy and Real Estate Function:
- Directly manages a portion of WWHT’s property portfolio. This includes ongoing financial and budget review; curb appeal; tracking and reporting on collections; scheduling and conducting property inspections, documenting and following up on lease compliance matters generated through internal reporting and external complaints; following up on work order status, generating and sending out notices (e.g. infractions, terminations, inspections, invoices) and similar administrative duties.
- Assists Compliance and Leasing and front-line staff on rental unit occupancy, including unit showings, tenant file documentation, tenant recertification, and move-in and move-out documentation.
- Accurately interprets and implements owner and corporate policies and procedures, State and Local laws and ordinances; financing restrictions and covenants; and federal regulations, including Fair Housing Regulations.
Maintenance of Tenant Files and Occupancy Information System.
- Collaborates with Compliance and Leasing staff in maintaining accurate and confidential files in accordance with WWHT policies and that of any regulatory agency.
- Employs comprehensive and accurate systems for gathering and managing property and tenant information, data and statistics; ensures that record-keeping is comprehensive, up-to-date and accessible.
- Assists in the preparation of grant reports and other data compilations, for internal and external use as requested.
Provision of Client Service
- Ensures that communications are timely and effective and that resident problems are dealt with positively and directly, whenever possible; logs complaints and initiates appropriate follow-up such as home visits, inspections, work orders, and the like
- Maintains client confidentiality in accordance with federal, state, and WWHT standards
- Utilizes sound conflict resolution skills when assisting in the resolution of resident concerns and problems in a constructive manner.
- Supports tenants in addressing social and related problems by providing information and making timely referrals to Resident Services (SASH for All).
- Receives and processes Reasonable Accommodation requests in accordance with Fair Housing and Federal and State guidelines
Required Abilities
- Able to communicate with a diverse population in a fair and impartial manner; sensitivity to the needs of vulnerable individuals, families, children, and low-income households
- Excellent written and interpersonal communication and mediation skills.
- Microsoft Office (Word, Excel, Outlook) business communication skills; ability to learn and use new program software
- Strong organizational skills and ability to manage many tasks simultaneously.
- Ability to work in a collaborative team environment, including workspace and job sharing.

Required Experience and Training
- 2-3 years Property Management experience preferred.
- Experience with LIHTC, HUD HOME and Section 8 programs preferred; training toward LIHTC certification will be required in this position. Knowledge of Fair Housing regulations preferred; training will be required in this position.
